Brief introduction:
(I) Functions: Participate in government affairs, handle affairs and provide services in the leadership of the Director, and assist the Director in routine administrative affairs. Coordinate the work of functional departments to ensure smooth implementation and integrated coordination.
Complete routine administrative affairs of the hospital; coordinate and participate in the preparation of mid and long-term development plans, annual work summary and plan of the hospital; be responsible for the delivery and implementation supervision of the resolutions adopted in Director's office meeting; take the lead in the coordination, implementation, supervision and assessment of work safety and objective pledge; be responsible for petition recording, reception and coordination; take the lead in portal website management of the hospital; be responsible for the management of Archives, Printing Room, Mail Room and Operator Room; be responsible for the coordination of administrative office rooms of the hospital.
1. Organize the planning of hospital-level large-sized meetings and activities; be responsible for the arrangement and recording of Director's office meeting, weekly hospital meeting, functional division chief meeting and other administrative meetings, and be responsible for the preparation and distribution of minutes of Director's office meeting, notice for resolutions adopted in the meeting, and the supervision of the implementation of the resolutions.
2. Undertake the coordination and contact with hospital leaders and departments.
3. Coordinate and participate in the preparation of mid and long-term development plans, annual work summary and plan of the hospital; carry out annual work task breakdown; coordinate and draft articles of association of the hospital.
4. Be responsible for the issuance of administrative documents of the hospital. Perform the recording, circulation, supervision, filing, archiving and custody of documents received.
5. Take the lead in the coordination, implementation, supervision and assessment of work safety and objective pledge.
6. Take the lead in the management of portal website of the hospital; coordinate and participate in the planning, design and promotion of general brand of the hospital.
7. Be responsible for the custody and use of hospital seals and legal person seals. Be responsible for the management of department and division seals of the hospital.
8. Carry out process review, sealing and archiving of contracts of the hospital according to contract management system.
9. Be responsible for the liaison, arrangement and reception of business visits and exchanges.
10. Be responsible for coordination and arrangement of general-on-duty, summarize and submit the contents of general-on-duty to functional department heads for meeting discussion, feedback and supervision.
11. Be responsible for the coordination and arrangement of administrative ward round, and carry out breakdown, summarization, feedback and supervision of the problems in ward round.
12. Be responsible for the management of business vehicles of the hospital.
13. Be responsible for the review, setting, update and de-registration of virtual network and phones of the hospital.
14. Be responsible for relevant work such as document printing, copying, and fax receiving and sending.
15. Be responsible for the sending and distribution of newspapers, letters, magazines and mail parcels of the hospital.
16. Be responsible for hospital archives management, and guide archives management of hospital departments.
17. Be responsible for the management of meeting rooms and administrative offices (areas) of the hospital.
18. Complete the contents specified in the pledges for the construction of honest and clean government, hospital ethics construction, ideology, objective management and work safety concluded between the department and the hospital.
19. Carry out continual quality improvement related to the work of the department.
